Staffing Dashboard – Creating an Assignment
Access: Users assigned the Staffing Dashboard - Action Capable role.
- Important: Managers and staffers must follow all facility and department staffing procedures when creating, editing, floating, splitting, and cancelling assignments.
The Staffing Dashboard displays real-time staffing and census data by facility, service line, department, shift summary period, and skill. Understaffed shift summary periods are highlighted in red while overstaffed shift summary periods are highlighted
in yellow.
In the example below, department 3 West is short two RNs for the selected day shift

To create a new assignment:
- Click the red cell to view the Resource Assignments screen.
- Click the Unscheduled Staff tab to view a list of available employees who are:
- Qualified to work in the selected department or service line.
- Not scheduled during the selected shift summary time.
- Not scheduled to work 12 hours prior to the start of the shift summary time.
- Employees are listed alphabetically by last name.
- Employee's with a secondary department association are designated by the [S] icon.
- The list can also be sorted by Skill, Employee Type, Hours Worked, Hours Scheduled,
Last Worked, Next Assignment Date and Time.
- If no suitable employees are listed on the Unscheduled Staff tab, click Search Staff to search outside the service line.
- Search by Name, 3/4 Login, or Employee Identification Number (EIN).
- Search across all facilities within the division.
- Search results include Core, PRN, and Contract Labor staff.
- Click an employee name to create an assignment.
- The Create Assignment page opens for completion. Employee, Facility, Service Line,
Department, Skill, and Date information is pre-filled.
- Complete the form:
- Select a Shift Type and Shift Code. Start and End Times will be automatically entered
based on the selected shift code.
- Confirm the Shift Date.
- Confirm or edit Charge and Float settings.
- Enter Notes as needed.
- Click Next.
- Review and confirm the assignment fields.
- Click Save & Finish to create the assignment.
- The employee will be notified of this schedule change by SMS message if they have opted in. If they have not opted in, an alert message will display at the top of the screen.
You will be returned to the Unscheduled Staff tab on the Resource Assignment page. If there are no additional needs to fill, click Close at the top of the page to return to the dashboard view.
Click the Refresh icon to update staffing grid counts in the dashboard view.

- Important Note: Staff assignment updates made in the Staffing Dashboard are immediately visible on schedules and daily rosters within Facility Scheduler and vice versa.
